The questions people asked during our Expense Management preview were a good sign. Attendees weren’t asking whether this would work. They were asking how it fits their specific setup: which card, which payment path, which policy exception, which GL account.

We hosted Stampli Amped Live on August 13 to preview what’s coming to Expense Management, and the session drew a strong turnout with an active Q&A throughout. This post answers the questions that came up most.

Stampli Card

Do I need Stampli Card to use Stampli Reimbursements?

No. This was one of the most common questions in the room, and the answer is straightforward: Reimbursements is a standalone add-on. It doesn’t require Stampli Card, and Stampli Card doesn’t require Reimbursements. You can run either one on its own or both together.

Can a third-party corporate card connect to the expense workflow shown in the webinar?

Several attendees asked about connecting a card issued by another provider. The company card workflow we previewed, receipt capture tied to a transaction, categories, and coding, is built around Stampli Card specifically. A third-party corporate card is still company-paid spend, not an employee reimbursement. So the workflow shown in the webinar should be understood as the Stampli Card workflow, not as a general path for external corporate-card transactions through Reimbursements.

I don’t have Stampli Card yet. Do I still get the new mobile app?

Yes. The new Stampli mobile app is for everyone, even if your organization doesn’t use Stampli Card or Reimbursements. If your organization uses the Reimbursements add-on, the app also supports submitting out-of-pocket purchases, mileage, and per diem, along with review and status tracking.

How Reimbursements Get Paid

Do reimbursements have to be paid through payroll, or can they go through AP instead?

Reimbursements are built to become payroll-ready. Once a request clears policy checks, approval, and AP Review, it’s exported with journal entries posted to the ERP, and the actual payment runs through your organization’s payroll process.

Can Stampli send an ACH payment or cut a check directly to an employee?

Stampli manages the reimbursement request through submission, review, and approval, then hands off a configurable export file to payroll. The employee payment itself, whether that’s ACH or a paper check, happens through your existing payroll process outside Stampli.

Receipts and Policy Rules

Can we set a policy so receipts aren’t required under a certain dollar amount?

Yes. Receipt requirements can be configured separately, including thresholds where receipts aren’t required under a certain dollar amount.

Will Stampli AI code receipts directly to our GL accounts?

Stampli AI suggests the coding. It doesn’t post it unreviewed. When an employee picks a simple category, Stampli AI connects that choice to the general ledger (GL) accounts, ERP items, and other fields your finance team has configured, and that suggestion gets confirmed during AP Review before anything moves downstream.

Approval Timing

Can approvals be set to require action only above a certain dollar amount?

Yes. Approval workflows can route based on several factors, including amount, department or user properties, organizational hierarchy, and whether it’s a card expense or a reimbursement. That means lower-dollar spend can move through a lighter review path while larger transactions get more scrutiny.

Reimbursement Add-On Cost and Setup

Can we configure different mileage and per diem rates for different policies or employee groups?

Mileage and per diem both run on rates your organization configures, rather than one fixed number. You can also set up exceptions to map different rates for different employee user properties.

Integrations and Switching From Another Platform

Is this a new app, or an update to the Stampli app we already use?

It’s the same Stampli mobile app you already have. If you’re already using it, you’ll be prompted to update to the new version as part of the rollout. If you haven’t downloaded it yet, this is a good time, since the new expense and reimbursement experience starts there.

Does Expense Management integrate with our ERP, like Sage Intacct?

Stampli already integrates with a wide range of ERPs, including Sage Intacct, as part of the broader platform.

We use another expense or travel platform today. What does moving to Stampli look like?

Stampli Expense Management is built to be a complete workflow for both company card spend and employee-paid reimbursements, including mileage, so it’s designed to cover what a dedicated expense platform typically handles.
